TradeTrac ("we", "us", "our") operates the website tradetrac.online and the TradeTrac site visit and contractor management application available at app.tradetrac.online (the "Service"). This Privacy Policy explains what information we collect, how we use and store it, and the choices you have.

Information we collect

When you create an account we collect your name and email address used to authenticate you. We also collect basic usage information needed to operate and improve the Service.

Client and job information entered by contractors

When you use the Service you enter business and job information yourself — client names, phone numbers, email addresses and site addresses, site visits, jobs, estimates and invoices. You provide this data so the Service can organise your work and generate the documents you create. You are responsible for having the right to enter your clients' details and for telling them how you handle their information.

Photos, voice notes and transcriptions

To help you capture site details, the Service stores photos, videos and documents you upload, voice notes you record, and the automatic text transcriptions generated from those voice notes. This media is linked to the site visit, quick job or client record you attach it to, so you and your team can refer back to it when quoting and invoicing.

Payment information handled by external payment providers

Where paid plans are offered, subscription payments are processed by external payment providers. We do not store your full card or banking details on our servers. Card and payment data is collected and secured by the payment provider you choose, subject to their own privacy and security standards. We receive only the confirmation needed to enable your subscription.

How we use your information

We use your information to provide and improve the Service, to generate the reports, estimates and invoices you create, to communicate with you about your account, and to send service updates. We do not sell your personal information.

How information is stored and secured

Your data is stored on secure cloud infrastructure. Access is restricted to authorised personnel and to you through your authenticated account. We use industry-standard encryption in transit and reasonable administrative and technical safeguards at rest.

Data export and account deletion

You can export the data you have entered at any time. You may also request deletion of your account and the records associated with it by contacting us. We will remove your data on request in line with our retention policy, subject to records we are required to keep for legal or accounting purposes.

Third-party services

We use trusted third-party providers for hosting, email delivery, transcription and analytics. These providers process data only as needed to deliver the Service and are bound by their own privacy and security commitments.
